Google Workspace Defaults to Giving Gemini Access to Business Data; Admins Can Disable It

Google's Workspace enables Gemini to access Gmail, Docs, and other business data by default, raising compliance concerns. Admins can turn off these intelligence sources.

The report, published on Aug. 18, 2026, explains that Google does not use the data for training Gemini or share it outside the company's domain. Prompts and generated responses are also not shared with other users or organizations, and Google does not create an AI-specific database from documents or emails. Instead, Gemini uses real-time retrieval-augmented generation, searching indexed Workspace data to formulate answers.

Despite these safeguards, the default setting may pose compliance and privacy risks for organizations. Client contracts or regulations may prohibit AI scanning of company information, and internal departmental isolation could be undermined if an AI accidentally retrieves confidential records such as HR complaints or private deals in response to queries. Insider threats, both human and AI-driven, also add to the concern.

Administrators can disable Workspace Intelligence Sources by logging into admin.google.com with an admin account, navigating to Generative AI, then Gemini in Workspace, and turning off the relevant source for the entire organization. The report noted an issue when attempting to disable the feature for an individual user, suggesting that the control may be organization-wide.
